What you leave with.

After the review, you'll receive the Frictionless Firm Roadmap: a structured, prioritized plan that tells you what to fix, in what order, and why it matters for a firm your size and stage.

The roadmap distinguishes quick wins from structural fixes. It explains what to clean up, automate, simplify, restructure, measure, and stop. It identifies which improvements create the most operating leverage so you fix what matters first without revamping everything at once.

The roadmap is yours to keep and act on, whether you implement it internally, work with Brightlark, or both.

The Frictionless Firm Roadmap

When HubSpot works, but the firm still feels hard to run.

The issue isn't always that HubSpot is broken.

In many growing professional services firms, HubSpot is technically doing its job. Someone put genuine effort into setting it up, yet the firm still feels harder to manage than it should.

Admin work keeps expanding. Deals are tracked inconsistently. Marketing leads arrive with insufficient context for sales to act. Follow-up relies on memory. Closed-won deals do not move cleanly into onboarding. Delivery teams start client work without knowing what was sold. Reports need spreadsheets to be useful. Workflows are outdated, confusing, or both.

That is HubSpot friction. Not a broken system, but one never fully built around how your firm operates. Left unaddressed, it feeds the Capacity Trap: more admin, more dropped balls, more overhead per client, and a firm that keeps hiring to solve problems systems should fix.

The Frictionless Firm Roadmap is how you find out which problems are worth solving — and in what order.

Our Approach

What we review to build your roadmap.

We look for friction across six areas that affect how your firm markets, sells, serves, and grows.

1

CRM Structure

Does HubSpot match how your firm actually operates? We check contacts, companies, deals, tickets, lifecycle stages, properties, pipelines, and associations to see whether the structure supports the business or just meets form fields.

2

Marketing → Sales Handoff

Do qualified prospects move from marketing into sales with ample context, urgency, and ownership? We examine forms, lead routing, qualification data, source attribution, and nurture logic to identify where the handoff yields useful sales conversations and where it results in more manual research.

3

Sales → Service Handoff

Does closed-won work move cleanly into onboarding and delivery? We look at closed-won requirements, handoff fields, scope details, stakeholder context, delivery owner assignment, and onboarding triggers. This is where the pledge made in sales either survives or disappears.

4

Workflow Automation

Is HubSpot lowering manual admin or generating more of it? We review workflows, task automation, notifications, enrollment logic, lifecycle automation, and onboarding sequences to find where automation is helping and where it is causing friction.

5

Reporting & Visibility

Can leadership see what is happening across demand, pipeline, delivery, and client health without rebuilding the data in a spreadsheet? We check dashboards, attribution, pipeline visibility, client health reporting, and whether the underlying data is trustworthy enough to act on.

6

Admin Load & Data Hygiene

Does the team trust and use the system? We look at duplicate records, inconsistent properties, adoption gaps, data governance, and manual cleanup patterns. We ask whether HubSpot feels like a tool that helps or a chore that follows people around.

The Frictionless Firm Roadmap is $1,500.

That fee covers the full discovery process, portal review across all six friction areas, the written roadmap deliverable, and a debrief call to walk through findings and recommended next steps.

If you move forward with Roadmap Implementation within 30 days of your debrief, the $1,500 is credited in full toward your implementation engagement. The roadmap pays for itself the moment you decide to act on it.

Frictionless Firm Roadmap

Who this is for.

The Frictionless Firm Roadmap is built for growing professional services firms using HubSpot — attorneys, accountants, consultants, financial advisors, and similar firms with 10 to 30 employees selling expertise, retainers, projects, or advisory services.

It is especially useful if you are a firm owner, managing partner, or Director of Operations who suspects HubSpot could be doing more but cannot quite put your finger on where it is falling short.

Frictionless Marketing

Who this is not for.

A few honest caveats. This is not the right fit if you do not use HubSpot, want a broad business operations audit unrelated to HubSpot, or need basic HubSpot training.

It is also not advised if your team will not change processes, data habits, or workflows. The roadmap can show you what is wrong. It cannot give you the willingness to fix it.

A clean CRM is useful

A HubSpot operating system is leveraged.

A typical HubSpot cleanup makes the portal neater: tidier properties, fewer duplicate contacts, dashboards that look more organized. That is useful, but it is not what this is.

The Frictionless Firm Roadmap outlines how HubSpot supports your firm's operations. Instead of asking whether HubSpot is organized, we determine whether it helps your team capture demand, turn opportunities into clients, hand off work, deliver, report, and scale without added overhead. These are different questions with different answers.

FAQ

What do I actually receive at the end?
- +

The Frictionless Firm Roadmap — a structured, prioritized plan covering your most significant HubSpot friction points across six areas, with clear recommendations organized by impact and effort. It distinguishes quick wins from longer structural fixes and tells you what to address first for the most operating leverage at your firm's current size and stage.

Is the roadmap just a list of HubSpot recommendations?
- +

No. The roadmap is sequenced and prioritized, not a flat list of observations. Every recommendation is framed around operating leverage — what fixing it will actually do for how your firm markets, sells, serves, and grows. You'll know what to do first and why.

Can we implement the roadmap ourselves?
- +

Yes. The roadmap is designed to stand on its own. After delivery, you can implement internally, work with Brightlark on focused implementation sprints, or combine both. The plan is yours either way.

Do we need to complete the Friction Scorecard first?
- +

No. The Scorecard is a useful starting point if you want a self-guided read on where the friction is. But if you already know HubSpot is creating drag, and you'd rather just move forward, you can go straight to the roadmap engagement.

What if our HubSpot portal is messy?
- +

That's common — and exactly the situation the roadmap is built for. Messy portals have more friction, which means the roadmap tends to be more valuable, not less. Part of what the review does is identify which issues actually matter and which are just noise.

How long does it take to receive the roadmap?
- +

Typically, seven to ten business days from the discovery call, depending on portal complexity. You'll have the roadmap in hand before the debrief call, with at least 24 hours to go over it beforehand.

Ready to find out what to fix first?

If HubSpot feels harder to manage than it should, the issue probably is not effort. It is friction. And friction has a specific address you just need to know where to look.
